 Cancelation Policy

Note: Indigo Alpine Guides highly recommends trip cancellation insurance for all programs. Indigo Alpine Guides suggests Travelex for trip insurance. Global Rescue are our suggested rescue insurers. We can’t recommend this enough for multi-day trips — but it can be a good idea for day trips as well. Get in touch with any questions.

Cancelation Policy Short Version:

There’s a lot of legalese on this page that our lawyers say we have to include… so we’ll give you the short version first and then follow it up with the long version. When you book a trip with Indigo Alpine Guides or any of our employees including Jack Bynum either on the website or over email or over the phone by text or call you are agreeing to everything on this page… the short and long version :)

For Day Trips:

If you cancel for any reason prior to 30 days before the course start, you may rebook a later date for 100% credit, subject to availability, or receive a refund. If you cancel between 7 and 30 days prior to the course start, you may reschedule subject to availability. Between 7 and 30 days there are no refunds. If you cancel inside of 7 days from the course start, there are no reschedules or refunds available. This includes, but is not limited to:

– Injury/illness (positive cover exposure excepted)
– Weather, mountain and travel conditions (please see #4 below)
– Personal scheduling changes

For Multi-day Adventures:

Deposit (non-refundable)

  • $1,000–$2,000 per person, depending on the trip.

  • Required to confirm your booking.

  • The deposit is refundable if you cancel within 72 hours of booking. After that, they are non-refundable.

Final payment due:

  • 90 days prior to trip start date.

Cancellation by client:

  • >90 days before trip: Refund of all payments minus deposit.

  • 61–90 days before trip: 50% refund of total trip cost.

  • 60 days or fewer before trip: No refund.

  • Replacement option: If you are able to fill your spot by finding a new guest, 100% refund (minus deposit).

Cancellation by Indigo Alpine Guides:

  • Full refund of all payments including deposit, but we are not responsible for any additional expenses incurred (flights, hotels, etc.). We recommend booking refundable airfare when possible.

Trip delays / itinerary changes:

  • No refunds for weather delays, itinerary changes, or other factors outside our control.

Travel insurance:

  • Strongly recommended to protect your trip investment.

 And now for Cancelation Policy Long Version:

Unless specifically stated otherwise in specific experience advertising, our cancellation policy is as follows.

When you book a course with Indigo Alpine Guides, you are agreeing to our cancellation policy. Understand that if your travel does not go according to plan in any way or for any reason, we are unable to provide credits or refunds outside of what is described below. Our policy was carefully crafted with respect for our clients, our administrative staff, and our guides.

For Day Trips

1. If you cancel for any reason prior to 30 days before the course start, you may rebook a later date for 100% credit, subject to availability, or receive a refund. If you cancel between 7 and 30 days prior to the course start, you may reschedule subject to availability. Between 7 and 30 days there are no refunds. If you cancel inside of 7 days from the course start, there are no reschedules or refunds available. This includes, but is not limited to:

– Injury/illness (positive cover exposure excepted)
– Weather, mountain and travel conditions (please see #4 below)
– Personal scheduling changes

2. We reserve the right to cancel any course at any time. Reasons for cancellation might include (but are not limited to) natural disasters or inadequate enrollment. Due to the wildly variable nature of mountain weather and other factors that might result in a cancellation, there is no set timeline for this decision.

– If we cancel your course prior to its start due to natural disasters, hazardous weather conditions or other reasons of that nature, you may reschedule to a later date or receive a credit that never expires.

– If we cancel a course midway through due to unforeseen circumstances or weather conditions, we can offer partial credits for the course depending on how much time was spent with the instructor or guide on the given date.

– If we cancel a course prior to its start for low enrollment, there are a few options:

A). You may reschedule for a later date or receive a credit.

B). You may pay a “guaranteed greenlight” rate, which allows the course to run for a significant discount off the private rate. The office will work with you on the specifics here, as it is different for every course.

C). You may receive a full refund.

– Open-Enrollment Reservations – if you are more than 15 minutes late, your trip will leave without you and you will not have the option to receive a credit or refund.

– Private Groups for a 2-hour tour – if you are more than 20 minutes late, your trip will be shortened or cancelled, and you will not have the option to receive a credit or refund.

– Private Groups for a 3-hour or 4-hour tour – if you are more than 30 minutes late, your trip will be shortened and you will not have the option to receive a credit or refund.

3. On any course, our guides reserve the right to remove any person, for any reason. These reasons generally stem from a person jeopardizing the safety of themselves or another team member. This includes a person who is not physically able to climb or ski/ride at the level necessary for the chosen objective. In all these cases, there are no refunds whatsoever, and the client is responsible for any additional costs incurred in leaving the course.

4. Climbing, skiing and other IAG courses are based outdoors in a mountainous environment. Thus, challenging weather conditions are an inherent variable that are not possible to eliminate. Additionally, driving in the mountains can be difficult at times. Winter weather can have significant impact on driving times, with temporary road closures, chain control, traffic and slow driving conditions, poor visibility, cold temperatures and other issues, all possibly contributing to delays and challenging conditions. There is a certain amount of inherent risk involved with winter travel. We recommend that all participants take the time to prepare for unforeseen circumstances or delays. As these issues are a normal part of mountain travel, IAG may not cancel courses due to challenging weather conditions

For Multi-day Excursions:

Payments must be in U.S. dollars and may be made by PayPal, or by Visa, MasterCard, Discover, or American Express credit cards, or venmo.

A booking is not final or confirmed until you receive a confirmation from us by email. Early bookings are recommended because our group size and departure dates are limited.

We reserve the right to decline any booking for any reason permitted by law, including those described in other sections in this agreement.

TRIP DEPOSITS

For some trip departures and at IAG’s sole discretion, Participants may elect, in lieu of full payment, to pay a Trip Deposit / Booking Reservation per person to guarantee your participation on the trip, subject to our Terms and Conditions.

When making a Trip Deposit / Booking Reservation, full payment is due 90 days prior to the trip’s scheduled departure date. Indigo Alpine Guides will email reminders at least 3 days before full payment is due. Bookings for trips departing within 90 days require payment in full. If full payment is not received when due, IAG reserves the right to cancel your Trip Deposit / Booking Reservation, and to apply a 100% cancelation fee.

All room supplements must be paid when making a Trip Deposit / Booking Reservation. This includes solo travelers who request a “Single – No Share” room (if available for your specific trip departure). Advance payment is required to guarantee single rooms.

All other booking terms and conditions apply to Trip Deposits / Booking Reservations, including our cancelation polices (see Cancelations By You And Refunds, below).

PRICING, INCLUSIONS & EXCLUSIONS

The trip price is in U.S. dollars, based on double occupancy and includes the services specified in the daily itineraries, including meals, accommodations, admission fees and guided activities as stated.

Prices do not include any item not specifically listed above or in the itinerary, including but not limited to, air and other transportation to and from trip start and termination points; services and meals not listed in the itinerary; all expenses during leisure time including admission fees, meals, and beverages; passports or other travel documents; travel insurance or travel protection (i.e., medical insurance, emergency evacuation and similar services); airport arrival/departure fees or country taxes; personal expenses; gratuities; and all items of a personal nature.

single room supplement is paid by participants who request single accommodations, which are subject to availability and paid separately.

Trip prices are subject to change without notice. Unless otherwise specified, prices do not include any local taxes or use-fees, including foreign departure, security, port charges, park fees, customs, immigration, agricultural, passenger-facility charges or international transportation tax.

The value of the Booking and Booking Reservation may be subject to taxes, duties, foreign transaction, currency exchange or other fees. Your bank or credit or debit card company may convert the payment into the local currency and charge fees, resulting in differences between the amount displayed on the indigoalpineguides.com website or its affiliated websites, and the final amount charged to your bank account or credit or debit card statement. Please contact your bank or card company if you have any questions concerning any applicable conversion or fees. Please note for bookings made in Brazil, the tax IOF (Tax Upon Financial Operations, 6.38%) is not included in the final booking value and will be charged to the credit or debit card used to make the purchase.

CANCELATIONS BY YOU & REFUNDS

To cancel your Booking or Trip Deposit / Booking Reservation, you must email us at indigoalpineguides@gmail.com or call us at 845-661-3008.

Cancelation fees will be applied per person, based on the date we receive your written notification. Unless otherwise noted for specific departures, cancelation fees are based on the following schedule:

We will refund the applicable balance to you using the original payment method for your Booking or Trip Deposit / Booking Reservation.

No refunds will be provided for any reason for unused portion of a trip once the trip begins, including if you leave a trip for any reason or have to be removed from a trip. The trip price is a package cost and refunds and credits are not available for services not used.

There are no exceptions to this cancelation and refund policy, including for reasons related to weather, terrorism, civil strife, personal, family or medical emergencies or any other circumstances beyond our control. For this and other reasons, we encourage you to purchase trip cancellation and interruption insurance and travel protection (i.e., travel medical insurance and emergency evacuation services).

IAG is not responsible for expenses incurred by Participants in preparing for a trip (eg. nonrefundable advance purchase air tickets, equipment, etc.) or for any additional arrangements pre- or post-departure date. The term applies whether the tour is altered, modified, or cancelled by us or by you for any reason. Because the tour may be cancelled when a minimum number of Participants have not signed up, we recommend that you either purchase refundable air tickets or wait until we have confirmed with you approximately 3 months prior to the tour that we have a sufficient number of Participants.

CHANGES BY YOU

Due to requirements that our tours have a minimum number of travelers, we do not allow changes in departure dates after we confirm your reservation. In addition, our outside suppliers, including hotels, often impose additional fees or penalties for changes and cancelations. However, if you have any issues with your tour dates, please contact our support team at indigoalpineguides@gmail.com

CANCELATIONS OR CHANGES BY US

Indigo Alpine Guides reserves the right to refuse, block or cancel a Booking or Trip Deposit / Booking Reservation at any time, for any reason, at its sole discretion.

IAG reserves the right to cancel, alter, or modify a trip prior to departure for any reason, including insufficient Participant reservations. IAG and its suppliers reserve the right to substitute hotels, restaurants, routes or other services listed in the itinerary with comparable services if necessary. Indigo Alpine Guides reserves the right to change the itinerary of a trip. Occasionally, weather or other factors may cause delays, destination changes, or make completing a trip impossible. In these circumstances, there will be no refund of fees. Indigo Alpine Guides is not responsible for any additional costs (e.g., airline flight changes, additional hotel nights, etc.) associated with trip delays or itinerary changes due to weather or other factors.

When a tour is canceled for foreseeable reasons, then you agree that a full refund of trip payments made to us will constitute full settlement of any claims you may have against IAG or our suppliers, partners, or travel intermediaries.

In the rare event that IAG is forced to cancel or reschedule a trip for any unforeseen circumstance beyond the reasonable control of IAG, such as, but not limited to, acts of nature, war, labor strikes, earthquake, flooding, pandemics, quarantines, international travel restrictions, national emergencies, etc., IAG will reschedule your trip departure, and your booking will automatically transfer to the rescheduled date. If you are unable to travel on the rescheduled date, you may keep 100% of your booking value as a Trip Credit, to be used on any IAG trip traveling in the following year. Otherwise, if you elect to cancel your booking, the following cancelation terms apply, based on your trip’s original travel date.

When you cancel a booking for any reason, including electing not to travel on your trip’s rescheduled travel date the deposit will be non-refundable. This is to offset unrecoverable costs to IAG including credit card fees, non-recoverable deposits, non-refundable permits and booking fees, local taxes and administration costs.

IAG commits non-refundable, non-recoverable trip payments well in advance of scheduled departure dates. IAG will use reasonable efforts to recover and refund booking balances to guests when possible. However, IAG does not guarantee recovery of any or all of the advance payments made, and the use of reasonable efforts to recover these payments will not include the institution of legal proceedings in foreign jurisdictions. For this and other reasons, we encourage you to purchase trip cancelation and interruption insurance.

PARTICIPANT RESPONSIBILITY


Trip participants are responsible for their own well-being. You should arrive at the start of a trip with a positive attitude, a willingness to participate in a group organized trip, and be physically prepared. Participants joining a trek, course or mountaineering expedition may be required to obtain a physicians release prior to departure. Trip members are responsible for: knowing all pre-departure information, preparing proper equipment and clothing, conforming to basic standards of personal hygiene and acting in a considerate manner toward all group members and with respect for each country’s customs.


CONDITIONS OF CLIMBING EXPEDITIONS, COURSES AND TREKS:


Safety is our number one priority. We are committed to helping climbers maximize their potential enjoyment without compromising safety.

Indigo Alpine Guides, its owners, agents, employees, officers, directors, associates, affiliated companies and subcontractors (herein after collectively referred to as IAG), hereby give notice that they act only as agents for hotels, transportation companies, land operators and suppliers of travel services. IAG assumes no responsibility or liability in connection with the operation or service of any aircraft, motor vehicle, other conveyance, inn, lodge or hotel which may be used wholly, or in part, for services to Indigo Alpine Guides and its clients. IAG, its operators, airlines and agents will not be responsible for any act, error, omission, nor for any injury, loss accident, delay, inconvenience, irregularity or damage which may be occasioned by any cause whatsoever. This includes acts of nature, civil disturbance, government restrictions or failure of any means of conveyance to adhere to published schedule.

IAG reserves the right to change the price of, cancel or withdraw any trek, course or expedition for any reason whatsoever prior to departure. After departure, IAG reserves the right to alter or omit any part of the itinerary, to substitute hotels or leaders, to change any means of conveyance without notice and without allowance of refund, with liability for increased costs (if any) borne by the trek, course or expedition members. IAG reserves the right to accept or reject any person as a trek, course or expedition member at any time.

I understand, and am aware, that during the trek, climb, course or expedition in which I am currently participating, or will participate in, under the arrangements of IAG, certain risks and dangers may arise including, but not limited to: altitude; steep or treacherous terrain; inclement weather; avalanches, rock fall and other natural occurrences; misuse, failure or loss of equipment; shortage of food or water supply; the hazards of traveling in politically unstable areas; the dangers of civil disturbances and war; the forces of nature; acts or omissions of IAG; travel by boat, automobile, train, ship, aircraft or other means of conveyance; and accident or illness in remote places without access to medical facilities, transportation, or means of rapid evacuation and assistance.

I certify that I am familiar with the dangers, hazards and risks incident to trekking and mountain climbing expeditions/courses as listed above. And I accept and clearly understand that these hazards and risks may result in personal injuries to myself and others, including paralysis and death, and hereby expressly assume all of the above risks including, the risks of acts or omissions of IAG, and do hereby expressly agree to hold IAG harmless and defend them against any and all liability.

In consideration of the services furnished me, and to be furnished me as a member of this trek, course and/or mountaineering expedition, I hereby release IAG and all the members of the trek, course and/or mountaineering expedition from any and all damages, injuries, losses, or any cause of action which may result in me, my legal representatives or others purporting to exercise statutory or other rights arising out of, or in connection with this expedition. And I hereby assume each and every damage incident to my participation, and agree to indemnify and hold harmless IAG and all members of the trek, course and/or expedition against any sums which they, or any of them may be subject to pay in consequence of any claim or demand by or through me, or resulting from my being a member of this trek, course and/or mountaineering expedition.

 Trip Deposit FAQ

  • Select Book Now and follow the instructions from our booking software We Travel.

  • Full payment is due 90 days prior to your trip's departure date. We’ll email a reminder a few days before your full payment is due.

    If you make a deposit for a trip departing in fewer than 90 days, full payment will be due within 5 days.

    If full payment is not received when due, IAG reserves the right to cancel your reservation.

  • Yes. For solo travelers who want a "Single - No Share" room (if one is available), your room supplement must be paid when making a trip deposit. We stay in unique, in-demand boutique hotels and advance payment is required to guarantee your single room.

    Note: we don’t charge a single supplement for all-camping trips — only for trips that include hotel accommodations.
